4 Ways Businesses Can Leverage UCaaS for a Remote Workforce

Unified Communications by Tom Collins

We live in a world that is finding everyone working from home — but remote work is harder for some organizations than it is for others.

Some companies moved to telecommute without a hitch, while others are being held back by aging technology that ties all communications to their building.

UCaaS technologies are closing that gap and making a distributed workforce not just possible, but productive...

77% of people working from home report that they are more productive.”

There are 4 ways to leverage the power of UCaaS to not only connect your mobile workforce, but to bring the productivity and connectivity of the office to the distributed work environment.

4 UCaaS for Remote Work

Picture yourself at your desk at the office, speaking to a client on your desktop phone.

It’s the end of the day, and you’re in a hurry to pack up and go home so you don’t miss your son’s little league game, but you can’t cut your client off short.

With a legacy PBX system, you’re stuck to your desk until you hang up the phone, but with Atlantech’s UCaaS services and Cisco Broadsoft’s UC-One mobile app, you can transfer your desk call to your mobile device so that you can continue your call on the go and make it to your son’s game on time.

This is only one example of how UCaaS can mobilize your business. Let’s dive into 4 ways you can leverage the power of UCaaS for a remote workforce.

1. Instant Messaging and Presence

Communicate with your team on the go and always know their status with UC-One’s instant messaging and Presence features.

Employees can update their Presence by clicking on a drop-down menu that gives them the option to choose between available/online, away, busy, or offline.

This means that you’ll know who’s available to talk so you can get the information you need and the answers to your questions quickly.

You can see examples of what this looks like on a desktop computer and mobile device in the following screenshots…

2. Mobile Team Communications

Instant messaging isn’t the only form of communication you’ll enjoy when you make the switch to Atlantech’s UCaaS services and UC-One.

You’ll be able to make phone calls, start video sessions, jump into a virtual meeting room, and even share your screen for more effective communications.

All of this is doable from your desktop computer and mobile device, allowing you to communicate on the go and meet with people who aren’t physically in the same place as you.

3. Desktop & File Sharing

Desktop and file sharing is simple with UC-One, and with desktop sharing, you can choose to share your whole screen or just a single application.

Send files during chat sessions by simply dragging and dropping the file into the chat window, or browse for the file on your computer and upload it using the “send file” button.

4. My Room

My Room is an on-demand collaboration room that allows you to dial-in to your conference bridge, share your desktop, and chat with other users that have joined your room.

With My Room, you aren’t restricted to only collaborating with people who work within your company. You’ll be able to use it with clients or other people outside of your organization too.

Simply send them a link with an invitation to join, and make sure to tell them to use the latest version of Chrome so that they can utilize all of the My Room session features.

You’ll receive a notification to accept or deny them access when they click your link and attempt to enter your My Room session.

Here’s an example of what My Room looks like on a mobile device...

While My Room isn’t the only team collaboration option out there, we believe it’s one of the best. Zoom has been in the news lately for security issues and MS Teams costs extra for an Office 365 license — we feel that My Room is a much better option.

My Room keeps your data secure, and it’s included in the suite of UC-One features.

The freedom and flexibility to manage everything in the cloud means that the possibilities are endless when it comes to working on the go.

Make the Transition to UCaaS Today

Transitioning from a legacy PBX system to UCaaS doesn’t have to be a huge hassle when you partner with the right company to help you make the switch.

You need to make sure that the UCaaS provider you choose has an implementation plan that takes into consideration what your organization’s needs are, how many sites you have that need service, and how they can keep you from experiencing costly downtimes as you make the transition.

Only one hour of downtime could cost your company $300,000 or more, so make sure you ask about their plans to reduce downtimes before you sign a single contract.

At Atlantech, we can create a custom plan for implementation that helps you avoid the risk of downtimes and makes the process as smooth as possible, so you can rest easy and enjoy your new services. And, if you're already using Microsoft Teams, you can use that in the 4 ways described above with our UCaaS system. Microsoft Teams can be become your Super Soft Phone at the center of your Microsoft 365 deployment.

By switching to a UCaaS system, your employees can experience the flexibility of working remotely, while still ensuring communication stays open, and that they can access the crucial documents they need to perform their job duties.

“In a span of just a few short years, we have accomplished a data center migration, phone system implementation, and an entire office renovation. The entire team at Atlantech has been there through all of those projects providing us with valuable guidance, project management, and simply honest and excellent work.” - Juan Sanchez, Director of IT from American Occupational Therapy Association, Inc.

We want you to know that making the transition to UCaaS is going to be the best decision that you could make for your business going forward, and our experts are here to help.

That’s why we created a free guide to show you step-by-step exactly what you need to do to make the switch.
